VirtualDocs365, LLC (“VirtualDocs365,” “we,” “us,” or “our”) is committed to providing transparent and fair refund practices for our telemedicine services. This Refund Policy explains the circumstances under which refunds may be issued for our various services.

1. General Policy

  • • Refunds are evaluated on a case-by-case basis and subject to our discretion.
  • • All refund requests must be submitted within 30 days of the original payment.
  • • Refunds, when approved, will be processed within 5-10 business days.
  • • Refunded amounts will be credited back to the original payment method.

2. Consultation Services

2.1 Completed Consultations

  • No refunds will be issued for completed consultations that have been provided by a healthcare provider.
  • • Once a consultation is completed and medical services have been rendered, the payment is final.

2.2 Cancelled Consultations

  • • Full refunds are available for appointments cancelled at least 24 hours in advance.
  • • Cancellations less than 24 hours before the appointment may result in a 50% refund or a credit for future use.
  • • No-shows (missing the appointment without cancellation) are not eligible for refunds.

2.3 Technical Issues

  • • If a consultation cannot be completed due to technical problems on our end, a full refund or rescheduling option will be offered.
  • • Technical issues on the patient’s side (internet connection, device problems) do not qualify for refunds.

3. Lab Payment Services

  • • Lab payments are generally non-refundable once the lab order has been issued and sent to the laboratory.
  • • If a lab order is cancelled before being processed by the laboratory, a full refund may be issued.
  • • After the lab has collected samples or begun processing, no refunds will be provided.
  • • If a provider determines that a lab test is not medically necessary, a refund may be issued at the provider’s discretion.

4. Custom Invoices

  • • Custom invoices are typically for specific medical services or products.
  • • Refunds for custom invoices depend on the nature of the service or product provided.
  • • Services already rendered cannot be refunded.
  • • Product refunds follow standard return policies as applicable.

5. Subscription Plans

  • • Monthly subscriptions: Refunds may be issued for unused portions of the current billing period if cancelled within 7 days of payment.
  • • Annual subscriptions: Pro-rated refunds may be available for the remaining subscription period when cancelled, minus any services already used.
  • • Subscription refunds are subject to review and may include administrative fees.

6. Prescription Refill Payments

  • • Prescription refill consultation fees are generally non-refundable once the prescription has been issued.
  • • If a prescription cannot be filled due to issues beyond the patient’s control, a refund may be considered.
  • • Refunds will not be issued if a patient simply changes their mind after receiving the prescription.

7. Processing Timeline

  • • Approved refunds will be processed within 5-10 business days.
  • • Refunded amounts will appear on your original payment method statement within 1-2 billing cycles, depending on your financial institution.
  • • You will receive an email confirmation once the refund has been processed.
